Greetings!  The Westbriar Condominium in partnership with the Westbriar Plaza Association (also referred to in this wiki as The Plaza) have finally constructed a brand new clubhouse and pool that will serve as a great amenity for both communities.  The purpose of this page is to provide information on the clubhouse effort as well as answer questions that the community may have.
 

Westbriar Clubhouse is Open! 

What do I have to do to get signed up?

The Westbriar Clubhouse opened to residents on July 13, 2013.  Before a resident can start relaxing in the party room or swimming laps the pool, all homeowners must take the following actions to get signed-up:

  • All homeowners must show proof of residence at the Westbriar, such as a valid driver's license or utility bill. 
  • All homeowners must sign a Waiver of Liability to be able to access the Clubhouse/Exercise Room and Spa.  This documents is available at the time of sign up).
  • All homeowners must have all of their key fobs (or access cards, whichever you use) scanned into the clubhouse access system in order to grant you access to the front door of the Clubhouse.  Remember to scan any key fob or card that you want to use to get into the clubhouse (you can have multiple fobs per unit scanned in to unlock the clubhouse doors).
    • You will have the opportunity to test our your fob at the sign-up event after it has been added to the Clubhouse access system.
  • All tenants will need written permission from the owner of the unit they live in in order be allowed to sign the Waiver of Liability to be able to access the Clubhouse/Exercise Room and Spa
    • Owners can send an email to Burke Community Management (BCM) Group property management at this address Office@BurkeCMG.com that simply lists the names of the tenants that they grant permission to use the clubhouse.  Remember to specify your building and unit number in the email. 
    • A sample permission form is located here in MS Word format and here in PDF format.  Owners can fax a copy of the permission slip to 703-330-5254 or email it to Office@BurkeCMG.com.
    • Tenants will need you to bring a complete copy of their lease/rental agreement, which will be kept on record (we will not be able to make copies)
  • Note that in order to gain access to the Clubhouse your account needs to be paid in full.  You must be in good standing with the Homeowner's Asociation.  All dues must be paid in full.

If I was not around for the sign up event, how do I get signed up?

Call up Burke Community Management Group and ask to schedule a time to activate your FOB to the clubhouse door.  They will be able to grant you fob access over the phone, but you will need to send all filled-out documents to her (Office@BurkeCMG.com) and you will need to be at the Clubhouse entrance when you call you can swipe your fob at the Clubhouse entrance fob reader.  Here is a picture of the clubhouse entrance where the fob reader is:

What are the hours that the Clubhouse and its facilities are open?

Clubhouse party room (main area): 5am to midnight daily  
Exercise room:  5am to midnight daily
Pool:  8:30 a.m. to 9 p.m daily

What work went into building the Clubhouse pool?

The Clubhouse has an exercise "treadmill" pool, which is a small 2-lane pool with water jets that a swimmer can swim against.  A significant amount of site preparation work was necessary because the site was originally designed for a larger, deeper community swimming pool.  The work included installation of the pool, plumbing, electrical work, a filtration system and adding perimeter fencing.

When can we start using the clubhouse and pool?

July 13th, 2013 was the date that residents were albe to start using the clubhouse, pool and exercise room.

What features does the clubhouse have?

In addition to the outdoor exercise pool, the clubhouse contains a recreation/party room with sound system and a large screen (about 45") television connected to basic cable.  The room contains a kitchen with an oven, a  sink and a fridge. 

The aerobics/gym room contains cardio machines and other home gym resistance equipment, as well as a television.  The clubhouse has bathrooms with showers.  Wireless Internet is available to residents while in the clubhouse. 


Other features include:

  • Key fob readers for the clubhouse entrances

  • Dishwasher
  • Refridgerator
  • Gas fireplace
  • Air conditioning

Who will be eligible to use the clubhouse and pool?

All homeowners who are in good financial standing with the association will be granted access to the clubhouse and pool.  It will be the responsibility of absentee homeowners to ensure that their tenants are granted access to the pool and clubhouse by ensuring that tenant contact information is properly registered with the property management company and that their move-in fee is paid.

What rules and process will be in place for use of the clubhouse?

The Westbriar Plaza association has put together a final set of rules for using the clubhouse.  These rules will be disseminated to all homeowners when complete.

Residents must sign to agree to the final versions of all of the above documents before being granted access to the Clubhouse.  All residents must be in good standing with regard to paying monthly condo fees in order to be granted access to the clubhouse.

What will be the process for reserving the clubhouse for private events?

Now that the clubhouse is open, residents can reserve it for private events for a fee.  When the clubhouse is reserved, other residents will be unable to access the it.  Here is the reservation process:

1. Contact the office of Burke Community Management Group (703-361-9014to check availability for the requested date and time at least one (1) week prior to the requested date. If the time slot is available, the managing agent will reserve the time slot and prepare and send the Association’s Rental Application and Agreement. 

2. The applicant shall sign the Agreement and Rental Agreement Holder Responsibilities Acknowledgment and return both documents, along with one check/cash/money order for the rental fee and one check/cash/money for the appropriate security deposit, to the managing agent within five (5) business days of the applicant’s receipt of the documents. All payments shall be made in the form of cash or a personal check, certified cashier’s check or money order payable to Westbriar Plaza. The signed Agreement and the two checks or other form of payment should be delivered to the Westbriar Plaza Condominium Unit Owners Association’s Managing Agent. 

3. The management staff will transmit to the applicant a copy of the Agreement confirming the reserved date and time.

The Clubhouse shall be officially reserved when the Agreement holder has delivered to the Association’s management staff a signed Rental Agreement together with the appropriate security deposit payment and a payment in full for the appropriate rental fee and has received a copy of the Agreement confirming the reservation through signature of the managing agent’s authorized representative. If such payments are not received in accordance with these stipulations the reservation shall be canceled. 

Who is paying for the operation and maintenance of the clubhouse?

Per a prior agreement, both the Westbriar Condominiums and The Plaza at Dunn Loring (formerly known as the Westbriar Plaza) Associations will be providing operation and maintenance funds for the clubhouse and pool from their annual budget.  However, the funding for stage 1 and stage 2 came from a bond issued to the Westbriar by Fairfax County for the specific purpose of building a community swimming pool.


The Westbriar Condominium will pay slightly more (56.7% of the fees vice 50%) to maintain the clubhouse based on the number of units that the the Westbriar Condominium has compared to the number of units in The Plaza complex.  The breakdown is as follows:

Number of Westbriar Condoninium Units:  224
Number of Westbriar Plaza Units:  171
